Action Item Management
A project consists of Planned Tasks & Ad-hoc Tasks. Planned Tasks may include tasks listed in project plans or generated as a result of elaboration of project plans. Ad-hoc Tasks include actionable tasks that are not pre-planned and are generated by the project team during the life cycle of the project. Examples of these include:
Request for Information, Request for Quotation, Minutes of Meeting, Complaints & Grievances, Change Management, Disputes, Issues, Health Safety & Environment [HSE] Incident Reports etc
For all the above ad-hoc tasks, prompt actions are required from project members to prevent any delays.
Collabwrite has inbuilt exhaustive features that helps track all the above tasks conforming to your organization’s workflow rules [for example, HSE Incident Reports].
Collabwrite offers plug-ins for enterprise mailing clients as MS Outlook & IBM Lotus Notes. A user can initiate any of the above ad-hoc tasks with a due date by composing a normal email & clicking “Track.”
Collabwrite routes and assigns these project emails to the concerned project team members. To take an action on an assigned task, the assignee [team member who is assigned the task] has to simply respond to the project emails received.
The key benefits of the feature include:
- Simple use of emails to assign tasks and take actions on them. Collabwrite doesn't require learning new ways to manage projects.
- Collabwrite automatically files project correspondence & the associated responses, and, thus completely removes manual efforts.
- Automatic reminders by emails / SMS to team members who are assigned specific tasks.
- Application of business rules as Automatic Escalations or Re-Assignment to other team members in case of delays.
- Sending daily “Things-To-Do” reports to team members with details of tasks assigned to them & initiated by them.
